Scope and Contents note

From the Series:

Series 7, Financial Records, ranges in date from 1951 to 1979 and consists of reports, cash books, registers, ledgers and a set of completed questionnaires, all documenting the income and distribution of the Johns Hopkins Fund. These records are divided into five subseries. Subseries 1, Accountants' Reports, contains reports of the annual audits of the Fund's books performed from 1951 to 1965 by Haskins & Sells, and from 1966 to 1976 by Peat, Marwick, and Mitchell. The reports are in chronological order. Subseries 2, Progress Reports, dates from 1956 to 1979 and contains the monthly and weekly progress reports of gifts received by the Fund. The early monthly reports included balance sheets, reports on the Fund's investment portfolio, and summaries of gifts and bequests broken down in two different ways. Between 1958 and 1961, the only reports issued were summaries of gifts and bequests, broken down a number of different ways, but primarily by donor, by project, and by solicitation group. In 1961, the format of the reports changed again. The report listed each of the major projects for which money was being raised, the amount raised for each project that month and to date, as well as the total amount raised. At the same time, the Fund began issuing weekly reports listing all gifts from private sources, and the purpose for which they were given. In 1969 the Fund changed the format of the monthly report yet again, dividing it into two parts. Part I was a list of gifts from private donors and the purposes for which they were given. Part II contained the amounts given to the Hospital and to each division of the University, broken down by type of source. Beginning with the report for July 1970, Part I, which merely reiterated what was in the weekly reports, was discontinued, and Part II became the entire report. The reports are in chronological order, with the weekly reports following the monthly reports. A distribution list for the weekly reports has been placed at the beginning of those reports. Subseries 3, Distribution of Receipts, ranging from 1951 to 1974, contains memoranda and reports documenting the transfer of money from the Johns Hopkins Fund to the University and the Hospital. Beginning in 1962, the disbursement reports also list all gifts specifically designated for either the University or the Hospital. These records are in chronological order. Subseries 4, Accounting Records, contains a cash book from 1951-1952, and registers of subscriptions for the Fund from 1951 to 1973. Subseries 5, Questionnaires, ranges in date from 1953 to 1978, and consists of memoranda, correspondence, and worksheets relating to the completion of a questionnaire on college fundraising sent out every year by the council for Financial Aid to Education. The material is arranged chronologically by the academic year to which the questionnaire refers.
